What you'll be getting up to:
The Financial Records Specialist plays a critical role in ensuring the accuracy, organisation, and integrity of the company’s financial records. This position is essential to the day-to-day management of financial transactions, ensuring that all activities are meticulously documented, processed, and compliant with company policies and accounting standards. By maintaining detailed and accurate financial records, the Financial Records Specialist supports the company’s ability to make informed decisions and meet regulatory requirements.
This role encompasses a wide range of responsibilities, including recording and categorizing financial data, reconciling discrepancies between financial statements and accounts, and ensuring the timely processing of payments. The Financial Records Specialist collaborates closely with internal teams such as finance, operations, and payroll, as well as with external vendors and stakeholders, to ensure seamless financial operations.
A key aspect of this role is analyzing financial transactions to ensure compliance with organizational standards, tax regulations, and industry best practices. Additionally, the specialist assists in preparing financial reports, tracking expenses, and monitoring accounts payable and receivable to ensure the company maintains a healthy cash flow.
The Financial Records Specialist also serves as a liaison between various departments, ensuring effective communication and coordination in managing payments, audits, and reconciliations. Their work directly impacts the organization’s ability to maintain financial stability, provide accurate reporting, and plan strategically for future growth.
In essence, this role is the backbone of financial accuracy and operational efficiency, contributing significantly to the organization’s overall success.
KEY RESPONSIBILITIES
Financial Record Maintenance:
- Accurately record all financial transactions, including purchases, sales, receipts, and payments.
- Maintain the general ledger and ensure proper classification of accounts.
Account Reconciliation:
- Reconcile bank statements, credit card statements, and other accounts to ensure accuracy.
- Investigate and resolve discrepancies in financial records.
Accounts Payable and Receivable:
- Process invoices, track expenses, and ensure timely payment of bills.
- Issue invoices, monitor receivables, and follow up on overdue payments.
Payment Coordination and Processing:
- Coordinate payment schedules and processes with internal teams and external vendors.
- Ensure timely and accurate disbursement of payments while maintaining compliance with financial policies.
- Assist with payment-related inquiries and resolutions from relevant teams.
Payroll Support:
- Assist in processing payroll and ensuring accurate employee salaries and benefits recording, overtime reconciliation, etc
- Maintain payroll records and ensure compliance with local labour laws.
Financial Reporting:
- Prepare monthly, quarterly, and annual financial reports.
- Assist with budget preparation and financial forecasting.
Compliance and Recordkeeping:
- Ensure compliance with tax regulations and assist in filing tax returns.
- Maintain organised and secure financial records for audits and inspections.
Support to HR & Finance Team:
- Collaborate with the Finance Manager or Accountant to support overall financial operations.
- Provide financial data and insights to aid decision-making.
Education:
Associate’s or Bachelor’s degree in Accounting, Finance, or a related field (preferred).
Experience:
- Fresh Graduates are welcome to apply
- Bookkeeping experience
- Familiarity with MS Excel, Google Workspace and Google documents
Skills:
- Strong attention to detail and organisational skills.
- Excellent numerical and analytical abilities.
- Practical communication skills, both written and verbal.
- Ability to meet deadlines and handle multiple tasks.
Knowledge:
- Understanding of basic accounting principles and tax regulations.
- Familiarity with payroll systems and processes is a plus.
